How we hold the names you send
This notice describes personal data Pipeline Map Base handles when you use this website, write to us, or sit with us during a mapping engagement in Malaysia.
The data controller is Pipeline Map Base, 25 Jln 2 Taman Len Sen,Kuala Lumpur,Wilayah Persekutuan,56000,Malaysia. Email info@pipeline-mapbase.digital. Telephone +60391328961. We follow the Personal Data Protection Act 2010 of Malaysia for personal data we process in connection with our mapping work and this site.
What we collect
From the contact form and email: your name, email address, the map you asked about, a description of the capture app or counter, and the message you typed. From a kickoff: the live link, staff names you introduce, appointment times, and any screenshots you attach. From a staff hour: notes of what the callback owner tells us about lists, groups, and desks. We ask you to hide other customers’ numbers before sending screenshots. We do not ask for identity card numbers, medical records, or payment-card details through this website.
If you accept analytics cookies, a short visit record (pages read, approximate region, browser type) may be stored by the analytics provider named on the cookies page. Essential cookies remember a cookie choice only.
Why we hold it
We use enquiry data to reply within two working days and to prepare an estimate. We use engagement data to walk the path, write the map, hold the readout, invoice, and — if you book one — run a Quarterly Check within eighteen months. We use cookies as described on the cookies page. We do not sell mailing lists and we do not use enquiry contents to advertise unrelated work.
Retention
Unsuccessful enquiries are deleted after twelve months unless a conversation is still open. Delivered maps and the supporting notes we need for a Quarterly Check are kept for eighteen months after delivery, then deleted or anonymised, except where Malaysian tax record rules require invoices to be kept longer. Cookie choice is stored in your browser until you clear it. Server logs on the host, if any, follow that host’s window, typically under ninety days.
Who else sees it
Email and file hosting may be provided by operators who process data on our instructions. A Klang Valley visit may involve the staff member you name hearing the same facts you already share at the desk. We do not send your capture path to another mapping desk. If a Malaysian authority lawfully requires disclosure, we will limit it to what is asked.
International transfers
If an email or file host stores mail outside Malaysia, that is a transfer of the message you sent. We choose hosts that publish a security and retention description we can read, and we avoid putting full customer lists of yours onto those hosts — redacted screenshots only. You may ask us to receive files on paper at Taman Len Sen instead.
Your rights
Subject to the PDPA, you may ask to access the personal data we hold about you, to correct it, to withdraw consent where consent was the basis, and to limit processing. Write to info@pipeline-mapbase.digital with “privacy” in the subject line. We may need to confirm it is you before we reply. You may also contact the Personal Data Protection Department of Malaysia if you believe we have not handled a request properly.
Children
This site describes professional mapping work for organisations. We do not knowingly collect data from children through the form. Test enquiries on your capture app should use dummy details you are willing to delete.
Changes
We will update this page when our holding practices change. The date of the current text is the date this site was last published.
